Introduction

VOOQIO ("VOOQIO," "we," "us") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our websites, signup flows, and cloud services (collectively, the "Services"). It applies to visitors, trial users, and paying customers and their authorized users.

Roles

Where we provide the Services to a business customer, that customer is typically the controller of personal information about its staff and end callers, and VOOQIO acts as a processor for that data when we handle it strictly on the customer's instructions. VOOQIO is the controller for certain account, billing, and website analytics data as described below.

Information we collect

Depending on how you interact with us, we may collect:

  • Account and signup data: name, business name, email, phone, industry, and similar fields you submit.
  • Service and communications data: call metadata, recordings or transcripts where enabled, messages, calendar or CRM identifiers you connect, and configuration you store in the product.
  • Google account and Calendar data (when you connect Google Calendar): OAuth tokens, account email, calendar identifiers, event titles, times, attendees, and related scheduling fields needed to create, update, or sync appointments for your workspace.
  • Technical data: IP address, device and browser type, approximate location derived from IP, logs, and cookies or similar technologies on our marketing sites.
  • Billing data: processed by our payment partners; we receive limited billing status information as needed to administer subscriptions.

Google Calendar and Google user data

Some business customers choose to connect their Google Calendar so VOOQIO can book and sync appointments when callers or chat visitors schedule with their AI front office (Sarah).

What we access: With the customer's explicit OAuth consent, VOOQIO may request Google Calendar scopes to read calendar availability and to create or update calendar events (and basic profile/email needed to identify the connected account).

How we use it: Google Calendar data is used only to provide scheduling features for that customer's VOOQIO workspace — for example creating, updating, or reflecting appointments booked by phone or chat. We do not sell Google user data. We do not use Google user data to train generalized AI/ML models unrelated to providing the customer's configured Services. We do not use Google user data for advertising.

Storage and sharing: Tokens and related calendar identifiers are stored securely and scoped to the customer tenant. We may use subprocessors (hosting, security) under contracts that protect the data. Customers can disconnect Google Calendar in the VOOQIO dashboard, which stops new access; revoke access anytime in their Google Account permissions as well.

Limited use: Our use of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.

How we use information

We use personal information to:

  • Provide, secure, and improve the Services, including AI features and integrations you enable.
  • Authenticate users, prevent fraud, and enforce our Terms.
  • Communicate about the Services, support, and important notices.
  • Comply with law and respond to lawful requests.
  • Analyze aggregated or de-identified usage to improve reliability and product design.

Legal bases (where applicable)

Where GDPR or similar frameworks apply, we rely on appropriate bases such as contract performance, legitimate interests (balanced against your rights), consent where required (including OAuth consents for integrations such as Google Calendar), and legal obligation.

Sharing

We may share information with:

  • Service providers who assist with hosting, telecommunications, analytics, email, payments, and security.
  • Professional advisers when required (for example auditors or lawyers under confidentiality).
  • Authorities when we believe disclosure is required by law or to protect rights and safety.

We do not sell your personal information as a conventional "sale of data" business model.

International processing

Our infrastructure and processing may occur in Canada and other jurisdictions where we or our subprocessors operate. We implement appropriate safeguards for cross-border transfers as required by applicable law.

Retention

We retain information for as long as needed to provide the Services, meet legal obligations, resolve disputes, and enforce agreements. Retention of call recordings and transcripts may be configurable by the customer where the product supports it. Google OAuth tokens are retained while the integration remains connected and are removed or invalidated when the customer disconnects.

Security

We use administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is completely secure, and systems may experience outages, errors, or loss despite reasonable care. We encourage strong passwords, least-privilege access in your organization, and retaining independent copies of business-critical records where appropriate. Additional commercial terms about availability and data loss appear in our Terms of Service.

Your rights

Depending on your location, you may have rights to access, correct, delete, or restrict processing of certain personal information, or to object or port data. Business customers should often contact their organization administrator first. You may contact us using the details we provide in-product or on our website. Canadian residents may have rights under PIPEDA and provincial privacy laws.

Cookies

We use cookies and similar technologies on our marketing sites and dashboards for session management, preferences, analytics, and security. You can control cookies through browser settings; some features may not work if cookies are disabled.

Children

The Services are not directed to children under the age where consent is required for processing in your region. We do not knowingly collect personal information from children for marketing purposes.

Changes

We may update this Privacy Policy from time to time. We will post the revised policy and adjust the "Last updated" date. Material changes may require additional notice where required by law.
